This notice explains how we handle personal data collected through the RoughCode website and its contact form.

It applies to roughcode.co. Products owned, supported, or incubated by RoughCode may provide their own privacy notices. Those notices govern information collected through the relevant product website or service.

Information we collect

When you contact us through the website, we collect the information you submit: your name, email address, and message.

Our hosting provider may process limited technical information associated with a visit, such as an IP address, browser and device information, request time, requested page, and security signals. This information is used to deliver and protect the website.

Our form provider processes the information submitted through the contact form, together with technical information needed to deliver the form and filter misuse. Please do not include sensitive personal data, passwords, confidential credentials, or information you are not authorized to share.

Why we use it

We use personal data to:

  • read, assess, and respond to enquiries;
  • take steps you request before a possible business or project relationship;
  • continue a conversation or manage a relationship that results from an enquiry;
  • operate, protect, and troubleshoot the website and contact form; and
  • meet legal obligations or establish, exercise, or defend legal claims where necessary.

Depending on the context, the legal basis is taking steps at your request before entering into a contract, performing a contract, complying with a legal obligation, or our legitimate interest in communicating with people who contact RoughCode and keeping the website secure.

We do not use contact-form submissions for mailing lists or unrelated marketing, and we do not make decisions with legal or similarly significant effects using solely automated processing.

Who receives the information

We disclose personal data only where needed for the purposes above:

  • to people working with RoughCode who need the information to handle an enquiry;
  • to our hosting provider, which delivers and protects the website;
  • to Airform, which receives and stores contact-form submissions on our behalf;
  • to professional advisers or other service providers where reasonably necessary and subject to appropriate confidentiality obligations; and
  • to public authorities when disclosure is required by law.

We do not sell or rent information submitted through this website.

Where data is processed

RoughCode is established in Estonia. Airform states that form submissions are stored in the United States and may be processed by service providers outside the European Economic Area. Our hosting provider may also process limited technical request data outside the EEA.

Where personal data is transferred outside the EEA, the relevant provider is responsible for applying an available legal transfer mechanism and appropriate safeguards. You may contact us if you would like more information about the providers involved in processing your data.

How long we keep it

We normally retain contact enquiries for up to 24 months after the last meaningful exchange. We may delete them sooner when they are no longer useful or retain relevant information for longer when an enquiry develops into an ongoing relationship.

Contract, accounting, compliance, and legal-claim records may be kept for the periods required or permitted by applicable law. Hosting and security logs are retained according to the relevant provider’s operational and security schedules.

Cookies and tracking

The RoughCode website does not currently use analytics or advertising cookies, and it does not use browser storage to track visitors. We do not measure individual browsing behavior or build visitor profiles.

Our hosting provider may maintain technical request logs for security and service operation. If we later introduce analytics, advertising cookies, or another non-essential browser technology, we will update this notice and request consent where required.

This website links to separate product websites and may link to other third-party services. Visiting another website is subject to that website’s own privacy notice and practices, even where the product is owned or incubated by RoughCode.

Your rights

Depending on the circumstances, you may ask us to:

  • provide access to your personal data;
  • correct inaccurate or incomplete data;
  • erase data or restrict its use;
  • provide data you supplied in a portable format;
  • explain or object to processing based on our legitimate interests; or
  • withdraw consent where processing is based on consent.

To exercise a right, email support@roughcode.co. We may ask for enough information to verify your identity. These rights can be subject to conditions and exceptions under applicable law.

You may also lodge a complaint with the Estonian Data Protection Inspectorate or the supervisory authority where you live or work.

Security

We use reasonable technical and organizational measures to protect personal data. No online service can guarantee absolute security, so please submit only the information needed for your enquiry.

Changes to this notice

We may update this notice when the website, our providers, or our practices change. The date at the top shows when it was last revised. Material changes will be highlighted on the website or communicated directly where appropriate.
